Back-to-School Expiry Check: What Parents Need to Verify

Before the school year starts, parents need to verify immunization records, insurance coverage, activity registrations, and more. Here's your complete back-to-school document checklist.

The back-to-school season is a whirlwind of supply lists, new shoes, and schedule adjustments. In the middle of all that, it is easy to overlook the documents that schools require before your child can attend class, join a team, or participate in activities.

Many of these documents have expiry dates that do not align with the school calendar. A sports physical from February might not be valid for fall tryouts. 1. Immunization Records

Immunization requirements are the most common reason for delayed school enrollment. What was compliant when your child entered kindergarten may not be compliant for middle school.

What to check:

  • State-required vaccinations for your child's grade level. Requirements differ by state and change over time. Check your state's Department of Health website.
  • Booster doses. The Tdap booster is typically required before 7th grade. Meningococcal vaccines may require additional doses for high school.
  • Documentation format. Some schools require an official state immunization record or a form signed by a licensed healthcare provider.
  • Exemption documentation. Medical exemption forms often need annual renewal.

When to act:

Start checking immunization records at least two months before school starts. Some vaccines require a waiting period between doses, and pediatrician appointments fill up fast during the back-to-school rush.

Tip: Request your child's complete immunization record from your pediatrician now. Compare it against your state's current requirements. Do not assume the records on file at the school are up to date.

2. School Health Insurance and Emergency Coverage

Schools need current insurance information for every student. If your insurance changed during the last open enrollment, the card on file may be outdated.

What to check:

  • Current insurance card. If you switched plans, carriers, or employers, update the school's records.
  • Policy effective dates. Verify continuous coverage through the school year.
  • Supplemental school insurance. Some schools require supplemental accident insurance for athletics.
  • Dental and vision coverage. Schools conduct screenings and need current information for referrals.

If you are going through a divorce or custody change, verify which parent's insurance is listed as primary. If you are on COBRA or transitional coverage, check that it will not expire mid-year.

3. Sports Physicals and Athletic Clearances

If your child plays school sports, a current sports physical is almost certainly required — and the validity rules are often stricter than parents expect.

What to check:

  • Validity period. Most states require physicals completed within 12 months of the sports season. Some districts require 6-month windows.
  • Form requirements. A general well-child visit may not satisfy the requirement if the specific athletic clearance form was not completed.
  • Concussion history documentation. Additional clearance may be required for children with concussion history.

Schedule sports physicals no earlier than necessary to maximize the validity window, but no later than 4 weeks before the season starts.

Tip: If your child plays multiple sports across seasons, check whether a single annual physical covers all seasons or if separate clearances are required.

4. Activity Registrations and Waivers

Many school-related activities require annual registration documents, waivers, and permissions.

  • After-school program registrations. Many programs do not auto-renew and have limited capacity.
  • Transportation authorization. Bus routes, carpool authorizations, and pick-up permission lists often need annual updates.
  • Field trip and activity waivers. Check whether last year's blanket waiver has expired.
  • Media release and photo consent. Schools typically request annual consent.
  • Technology use agreements. Many schools require annual acceptance of acceptable use policies.

5. Lunch Program Enrollment and Dietary Documentation

  • Free and reduced lunch applications. Eligibility must be re-established each school year with a new application.
  • Allergy and dietary documentation. A current medical statement from a healthcare provider is typically required for meal accommodations and often needs annual updating.
  • Meal account balances. Check whether your child's account carries over or resets, and add funds before day one.

Tip: Submit your free and reduced lunch application as early as possible. Processing takes time, and your child may need to bring lunch or pay full price during the gap.

6. After-School and Extracurricular Certifications

For programs outside the standard school framework — tutoring, music lessons, competitive sports clubs — additional document requirements may apply.

  • Program-specific medical forms. Many extracurricular programs have their own health forms.
  • Volunteer clearances. If you coach or assist, your background check and certifications may need annual renewal.
  • CPR and first aid certifications. American Red Cross and American Heart Association certifications expire after two years.

8 weeks before school:

  • Review immunization records against current state requirements
  • Schedule any needed vaccinations or boosters
  • Check sports physical validity and schedule if needed

6 weeks before school:

  • Update insurance information if it changed
  • Submit free and reduced lunch applications
  • Renew after-school program registrations

4 weeks before school:

  • Complete and submit sports physicals and athletic clearance forms
  • Update allergy and dietary documentation
  • Renew volunteer clearances if applicable

2 weeks before school:

  • Verify all submitted documents have been received and processed
  • Update emergency contacts and authorized pick-up lists
  • Sign technology use agreements and media release forms

First week of school:

  • Confirm lunch account is funded and active
  • Verify transportation arrangements
  • Address any last-minute document requests
